EAMT 2026 – Data protection and your rights

Tilburg University and the European Association for Machine Translation (EAMT) process your personal data when you register for EAMT 2026. This page explains how we use your data and your rights under the General Data Protection Regulation (GDPR).

Who is responsible for your data?

EAMT 2026 is organised by Tilburg University in cooperation with EAMT. Tilburg University acts as data controller for registration and payment processing. You can contact us at eamt2026@tilburguniversity.edu.

What data do we collect?

When you register, we collect:

  • Name, email address, affiliation, job title, country, phone number, and optional billing details for invoices (postal address, VAT/tax ID) when you provide them
  • Registration type, workshop, social events, and dietary or accessibility requirements
  • Travel-related information if you provide it (for estimating conference-related emissions; optional unless you add a voluntary tree-planting contribution with your registration)
  • Payment and billing information (processed by our payment provider)

How do we use your data?

Your data is used to:

  • Process your registration and payment
  • Organise the conference (name badges, catering, accessibility, travel estimates)
  • Send confirmation emails and relevant conference updates
  • Share your name, affiliation, and country with other participants and, where applicable, with sponsors
  • Produce anonymised statistics and reports

Legal basis

We process your data based on your consent (given when you register) and, where applicable, to perform our contract with you. Processing for legitimate interests (e.g. conference organisation) may also apply.

How long do we keep your data?

Your data is retained as long as necessary for the conference, related administrative purposes, and legal obligations. After the conference, we may retain limited data for reporting and future editions.

Your rights

Under the GDPR, you have the right to:

  • Access your personal data
  • Rectify inaccurate data
  • Erase your data (where legally possible)
  • Object to or restrict processing
  • Data portability (where applicable)
  • Lodge a complaint with a supervisory authority

Your data may be shared with:

  • Our payment provider (AcceptEasy) for processing payments
  • EAMT and Tilburg University for conference organisation
